IC Summits, LLC (“IC Summits,” “us,” “our,” or “we”) has prepared this privacy policy (“Privacy Policy”) to inform you of the privacy principles that govern our website (“Website”) and our services, including our marketing activities (“Services”). IC Summits is committed to providing excellent service to all of our customers and visitors to our Website, and is committed to the security and privacy of your information. Information collected from you by others, such as third party websites that you access through links on our Website, are governed by those entities’ privacy policies

I. Information We Collect

We may collect certain information from you when you use our Website and other Services.  That information includes:

Personal Information:  Personal Information, also known as “Personal Data,” is information that relates to, describes, references, can be used to identify directly or indirectly, locate or contact you. We collect various types of Personal Information when you interact with our Website or other Services. This information includes your name, physical address, email address, telephone number, credit card information, and other identifying information.  It also includes other information such as your location, IP address, browsing history, interactions with the Website, preferences, and/or interests.  Importantly, we may collect Personal Information directly from you when you visit our Website.

At times, we may require you to provide certain Personal Information to use our Website, to take advantage of certain Services that we provide, or to fulfill your request with us – including when you use our Website to buy tickets for an event or express interest in attending, speaking at, or sponsoring an event.

At times, we may require you to provide certain Personal Information when you use certain parts of our Website or to fulfill your request with us – for instance, we may require you to provide or use your email address or other contact information when you contact us with a question or comment, so that we can respond to you.

Generic Information:  Generic Information is information that does not directly reveal the identity of a customer or a visitor to the Website.  IC Summits may automatically gather some Generic Information from our customers and Website visitors. This information may include aggregate usage metrics such as total number of Website visitors, pages viewed, and usage patterns within the Website, etc.  This may also include information about your device. At times, the combination of various types of data, including Generic Information, may enable you to be identified, and may therefore qualify as Personal Information.

IC Summits collects and obtains your information in a few ways:  there is information that you choose to give to us, and information we obtain through your use of our Services. Each of these is detailed below:

A. Information You Give to Us

We collect certain information that you share with us. As noted above, sometimes this is information that we require in order for you to use our Website or certain Services.  For instance, when you submit an inquiry about an event, you will need to provide your name, job title, company, email address, telephone number, and designate your type of interest (i.e. attendee, speaker, or sponsor) so that was can appropriately respond to you.

B. Information We Obtain When You Use Our Services

We also collect certain Personal Information and Generic Information from you through your use of our Services.  As noted above, we may collect certain information related to your use of, and access to, our Website and other Services.

  • Device Information:  As noted above, we may collect certain information related to the device that you use to access and use the Website.
  • Aggregate Information:  We may use other aggregate information in relation to how you use our Website or Services.

We may also collect information through the use cookies or pixel tags, as described below.

  1. Browsing

The Website may collect certain information when you browse the Website and request pages from our servers. When you request a page from our Website, our servers log the information provided in the HTTP request header including the IP address, the time of the request, the URL of your request and other information that is provided in the HTTP header.  We collect the HTTP request header information in order to make our website function correctly and provide you the functionality that you see on the Website. We also use this and other information to personalize content presented to you on the Website, better understand how visitors use our Website and how we can better tune content and functionality to meet your needs. Although this information may at times include your IP address, this information, by itself, will typically not identify you.

This is so that we can customize certain aspects of your specific experience, and improve the overall function and efficiency of our Sites and Services. Session and First Party Cookies

The types of cookies that we use are referred to as “session” cookies and “first party” cookies. Session cookies are temporary, and are automatically deleted once you close your Internet browser. First Party cookies remain on your computer hard drive until you delete them or until they are otherwise removed upon expiration.

Third Party Cookies

IC Summits permits third-party service providers and other companies to use cookies or other similar technologies on our Website. These companies may collect your information, track your behavior on our Website, and gather information about your use of our Websites or Services and other online services over time and across different services. Additionally, some companies may use information collected to deliver targeted ads on behalf of us or other companies, including on other websites or online services.  We are not responsible for the functioning of cookies and other technologies used and placed by third parties on your device.

We may gather information about you automatically through your use of the Website, e.g., your IP address, your current location, and how you navigate the Website. We may collect information by automated means, including technologies such as pixel tags, browser analysis tools, server logs and web beacons. We use this information to better understand, customize, and improve user experience with our Website and Services and offerings.

Pixel tags

Pixel tags and web beacons are tiny graphic images placed on website pages or in our emails that allow us to determine whether you have performed a specific action. When you access these pages or open or click an email, the pixel tags and web beacons generate a notice of that action. These tools allow us to measure response to our communications and improve our web pages.

Other technologies

We collect many different types of information from other technologies to improve the quality of our Website and the services we provide. For example, we may collect information about the device you use to access our Website, your operating system and/or mobile device type, browser type, domain, and other system settings, as well as the language your system uses and the country and time zone where your device is located. III. How We Use Your Information

IC Summits uses your information to provide you access to, and facilitate your use of our Website and other Services. For instance, we will use your information in connection with responding to questions or interest you have about an event and in connection with the planning and presentation of events.

We also use the information you provide or information we collect and/or aggregate to understand and analyze the usage trends, interests, and preferences of our users, and to improve the way the Website looks and works. We may also use this information to create helpful new features and functionality.

We may also use your information and “cookies” information to:

(a) personalize our services, such as remembering your information so that you will not have to re-enter it during your visit or the next time you visit the Website;

(b) provide customized content, information, and email messages;

(c) monitor and analyze the effectiveness of our marketing activities (including related third party marketing activities); and

(d) monitor aggregate usage metrics such as total number of visitors, pages viewed, etc.

We may also process your Personal Information for a specific purpose that we communicate to you.  For instance, if you provide your email address to us, we may use your email address or other Personal Information to send you emails related to the Website and Services we provide.

IV. How We Disclose or Share Your Information

IC Summits may disclose or share your Personal Information in the following ways:

  • Event Sponsors and Attendees: If you purchase a ticket to an event and provide us with your Personal Information in connection with that purchase, we may provide limited Personal Information to event sponsors including your name and contact information. Even if you do not purchase a ticket to an event, but you attend an event or are associated with an event as a speaker, sponsor, sponsor attendee, or non-paying guest, we may provide limited Personal Information to other event sponsors or attendees. We also may provide personal limited Personal Information in connection with making brokered introductions between event attendees and event sponsors. In addition, if you are a speaker for an event, we may facilitate introductions to other speakers and organizers event and provide limited Personal Information in connection with those introductions.
  • Third Party Services: IC Summits may disclose your Personal Information to our service providers, who will use your information in accordance with our instructions. This may include Google Analytics, which uses cookies and similar technologies to collect and analyze information about use of Website and report on activities and trends. This service may also collect information regarding the use of other websites, apps and online resources. You can learn about Google’s practices by going to www.google.com/policies/privacy/partners/, and opt-out of them by downloading the Google Analytics opt-out browser add-on, available at https://tools.google.com/dlpage/gaoptout/.

In addition, IC Summits may also offer you access to third party sharing functionality, such as third party social media widgets/tools/buttons. Note that if you use that functionality, your use is subject to the third party’s privacy policy and terms. As with all links to non-IC Summits websites, content, or services, IC Summits recommends that you read the privacy policies and terms associated with third party properties carefully.

  • Website Development:  We may also work with third party service providers to provide website development, hosting, and maintenance as well as other services for us. To the extent it is necessary for these service providers to complete their contractual obligations to us, these third parties may access or process your Personal Information.

IC Summits may be required to disclose your Personal information in response to a lawful and enforceable request by a law enforcement, judicial, or other public authority, or in connection with a legal obligation. In such instances, we will disclose your Personal Information upon receipt of a court order, subpoena, or other lawful and enforceable process, or where otherwise required by law.

We may also disclose your information when there is a good faith belief that such action is necessary to investigate or protect against harmful activities to IC Summits, our visitors, associates, or property (including the Website), or to others. We may also share your information with our third party service providers as described in this Privacy Policy but they may use this information only to provide IC Summits with a specific service and not for any other purpose.

V. International Visitors and Transfers of Your Information

The Website is hosted in and intended for visitors located within the United States. While the Website is generally available outside the United States, we do not directly market to or provide any other Services to individuals beyond the United States.  Laws governing data collection and use in other regions of the world may differ from U.S. law. If you are visiting this Website from a country other than the United States, the various communications you send and receive will necessarily result in the transfer of information across international boundaries to the United States. This includes transmissions containing your Personal Information.

If you are located in the European Union and choose to provide us information about you, you should be aware that information you provide or which is otherwise collected on the Website or through any Services rendered may be transferred to countries (including the United States) which do not have data protection laws deemed as adequate as those in the European Union.

IC Summits will ensure that you can exercise various rights relating to your Personal Information, including rights as provided by various data protection laws. IC Summits therefore informs you that, where applicable under relevant law, you are entitled:

  • to have access to your Personal Information upon simple request – that is, you may receive a copy of such data upon request, unless for example, such data is made directly available to you within your personal account;
  • to have access upon simple request, and free of charge, the categories and names of addresses of third parties that have received Personal Information for direct marketing purposes, if any;
  • to obtain a list of the categories of Personal Information collected about you and disclosed to third parties for business purposes;
  • to correct your Personal Information if you find it is inaccurate, incomplete or obsolete;
  • to delete your Personal Information in the situations set forth by applicable data protection law (the “right to be forgotten”).
  • to withdraw your consent to the processing of your personal information without affecting the lawfulness of processing, where your Personal Information has been collected and processed on the basis of your consent;

However, IC Summits does not sell your Personal Information to any other parties. For deletion, or ”right to be forgotten” requests, we will undertake a good faith effort to accommodate requests for access to or deletion of personal information.  However, these requests may be subject to the evaluation of additional factors, including disproportionate burden or expense, or the risk to the rights, including the privacy rights, of others.

A. Your Choices on Collection and Use of Information

IC Summits may choose to provide emails or other communications regarding services we feel may interest you.  If you decide you do not want to receive such messages from us in the future, you always can “opt-out” by following the “unsubscribe” directions attached to such emails, or by sending an email to privacy@icsummits.com and requesting to opt-out of receiving such communications in the future.

Regarding the collection of Generic Information, as described above, you also have the ability to change your browser and device cookie settings to limit this collection.

B. Updating and Correcting Your Information

To access, update, or delete Personal Information stored by IC Summits, please contact us at the address below.  Note that we may limit certain requests to modify your Personal Information, including requests that impact other users’ privacy, that concern information we do not possess or control, or requests that are unverified, repetitive, unlawful, or that require technical means disproportionate to the request.

C. Protecting Your Information

IC Summits takes reasonable and appropriate security measures to protect your information from loss, misuse, and unauthorized access, alteration, disclosure, and destruction.  We employ certain physical, managerial, and technical measures designed to improve the integrity and security of the Website and the personal information you transmit to us and that we store on our systems.

While we strive to make your information as secure as possible, no transmission system or data network can be guaranteed to be 100% secure. By using our Website you acknowledge that there are data security and privacy limitations inherent to the use of the Internet, and that the security, integrity, and privacy of any and all information exchanged between you and IC Summits cannot be guaranteed. We cannot ensure or warrant the security of any information you transmit to us or that we store, and you do so at your own risk.

In the event that we become aware of a security breach that involves your information, we will, to the extent we’re permitted by law, notify you without undue delay. We will make reasonable efforts to identify the cause of the security incident. We will provide reasonable assistance to you in the event that you are required by law to notify a regulatory authority or any individuals of a security incident.

D. Children

All of IC Summits’ Services, including our Website, are intended for adult audiences.  We do not offer or provide products and services for, and none of our products or services are intended for or directed to anyone under 13.  If you are under 13, do not attempt to register for or use any of our Services, including our Website, and do not provide us any Personal Information about yourself.

If we learn that any Personal Information of any person under the age of 13 has been collected on the Website, we will take the appropriate steps to delete this information. If you are a parent or guardian and discover that your child under the age of 13 has violated the terms of this Privacy Policy by providing us with his or her information, you may alert us at privacy@icsummits.com so that we may delete that child’s Personal Information and not further use or retain such information except where necessary to protect the safety of the child or others, or as otherwise required by law.

E. Do Not Track

Your browser and other mechanisms may permit you to send do-not-track signals or other similar signals to express your preferences regarding online tracking. However, because there is not yet a defined response to do-not-track requests, our Website does not respond to your browser’s do-not-track request. As noted above, third parties may collect data that relates to you. We cannot control third parties’ responses to do-not-track signals or other such mechanisms. Third parties’ use of data relating to you and responsiveness to do-not-track signals is governed by their respective privacy policies.

F. Your California Privacy Rights

If you are a California resident, you have the right to request information from us regarding the manner in which we share certain categories of personal information with third parties for their direct marketing purposes, in addition to the rights set forth above. Under California law, you have the right to send us a request at the designated address listed below to receive the following information:

1. the categories of information we disclosed to third parties for their direct marketing purposes during the immediately preceding calendar year;

2.  the names and addresses of the third parties that received the information; and

3. if the nature of the third party’s business cannot be determined from their name, examples of the products or services marketed.

How to Exercise Your California Privacy Rights

You may exercise your California privacy rights to access and be informed, request deletion, and/or opt out of the sale of your personal information by submitting a verifiable consumer request.  To make such a request, please provide sufficient information for us to determine if this applies to you, and attest to the fact that you are a California resident. Please also provide a current California address for our response. You may make this request in writing to us at the below address. Any such request must include “California Privacy Rights Request” in the first line of the description, and include your name, street address, city, state and ZIP code. Please note that we are only required to respond to one request per customer each year, and we are not required to respond to requests made by means other than through the address provided for this purpose below.

You may also make a request on behalf of your child under 18. We will respond to your request within 45 days, unless additional time is required, and then we will respond within 90 days. We may confirm your request directly with you prior to fulfilling your request. We will need to confirm your identity and California residency to process your requests to exercise your information, access or deletion rights. We cannot process your request if you do not provide us with sufficient detail to allow us to understand and respond to it.

Authorized Agents

If you are using an authorized agent to exercise your rights, we may require that you:

  • Provide the authorized agent written permission designating them to submit the request on your behalf; and
  • Verify your own identity directly with us.

We reserve the right to deny a request from an agent that does not submit proof that they have been authorized by you to act on your behalf.

Verifying Your Identity

We, or a third-party identity verification service provider on our behalf, will need to confirm your identity in order to respond to your request. When possible, we will match the identifying information that you provide in your request to the information that we maintain about you. In some circumstances, we may request that you provide government issued identification in order to process your request or the request of an authorized agent. If we do require additional information from you, it will be retained to the extent needed to verify your request.

We may need to contact you in order to clarify your request, confirm your identity, or collect more information in order to verify and respond to your request. If we are unable to verify your identity, we will not disclose any specific pieces of personal information to you and will inform you that we cannot verify your identity. In the event your request is denied in whole or in part, we will inform you of the reason for such denial.

When responding to privacy requests to access or delete, we may not be able to provide information on or delete your personal information related to online activity because we do not know your identity with the degree of certainty and do not maintain individualized information from third party cookies.

Event Photography and Video Marketing Policy

IC Summits prioritizes transparency and respects the privacy of our event attendees.

To enhance event experiences, we may capture and employ photos and videos of attendees for marketing purposes. These visuals, featuring attendees, speakers, sponsors, and participants, may appear in promotional materials, marketing campaigns, social media posts, event highlights, and related activities. Attendance at our events signifies consent to our privacy policy, encompassing the use of individuals’ images in promotions. If you prefer to opt out of having your visual content used for marketing, please contact us at privacy@icsummits.com.

By attending our events, you implicitly agree to the use of your likeness in photos and videos for marketing, unless you inform us otherwise. Media may be shared on third-party platforms for promotional purposes, with IC Summits not assuming responsibility for its usage by attendees or third parties on social media. While the duration of media use is indefinite, removal requests are accepted at any time. IC Summits reserves the right to update this policy, with changes communicated through our website. Attendees acknowledge and agree to these terms regarding the use of their photos and videos for marketing purposes, and inquiries can be directed to privacy@icsummits.com.
